Permissions for Manual Serial & Lot Number Creation (Restrict Access: Only select from Available)
What financial, time savings, or quality of life improvements will occur with this:
- Data Integrity: Prevents users from “fat-fingering” or inventing serial numbers that don’t exist in the system, which currently leads to mismatched physical inventory and digital records.
- Financial Accuracy: Reduces the labor costs associated with “inventory true-ups” and audits required to fix incorrect lot data.
- Quality of Life: Warehouse Managers will spend less time troubleshooting why a specific unit can’t be found or sold because it was entered under an unofficial serial format.
- Process Enforcement: Forces a standardized workflow where items must be received via official PO/Receipt channels rather than bypasses.
Attempted solutions so far:
- Implemented SOPs (Standard Operating Procedures), but without a system “hard stop,” manual entry errors continue to occur.
- Reviewed existing Inventory related permissions, but currently, the ability to manage inventory and sales orders grants the ability to manually add these numbers by default; there is no specific toggle to “Read-Only” or “Select-Only” for serial/lot fields.
Digging deep - Any additional Why behind this request / How was this accomplished before Striven:
- In a high-compliance or manufacturing environment, a serial or lot number is more than just a label—it’s a legal and safety footprint. If a user manually types “SN-123” instead of scanning “SN-1234,” the chain of custody is broken.
- We need the system to act as a guardrail, ensuring that users can only select from existing inventory rather than creating new data points on the fly.
