Limit select GL Accounts from being added to Transactions

Name of Feature/Request: Limit select GL Accounts from being added to Transactions

What financial, time savings, or quality of life improvements will occur from this: Have the option to set up limitations for which Accounts can be added to transactions - specifically AP Transactions in this case. | Frequency: Multiple times a week. | “I would like for certain users or user titles to be blocked from Balance Sheet GL accounts. So anytime they are entering data in Striven and use their drop down box or type in info, none of the balance sheet accounts are an option. This is continually causing problems. Since they can see the accounts, and because they are not versed on proper account choices, and don’t always see or look over the preceding GL account number, entries are being made to accounts that have nothing to do with cost or expense.”

Attempted Solutions So Far: Currently, Striven does not allow certain GL Accounts to be limited from a general overview of choices. All GL Accounts can be chosen. I recommended she check “Do not allow posting to this account?” from the individual GL Account details but that is not a solution because even Christina herself cannot post to the account.

How can I help you? [21:11] Christina M Barton: Hi Gabrielle! [21:11] Christina M Barton: Is there a way to restrict users from choosing certain General Ledger accounts? [21:12] Christina M Barton: For example, if I don’t want data entry users to be able to choose a balance sheet account when entering a bill (restricting them to only expense accounts), can I? [21:13] Gabrielle: Just one moment while I look into if this is possible, Christina. [21:16] Gabrielle: At this time there isn’t an option to exclude permissions to select GL Accounts. The current permission is set to allow users to view the entire Activity Report of the Account. [21:18] Christina M Barton: Ok, just wanted to check. It doesn’t happen excessively and I just change it when I find it. But I was hoping for a way to keep it from happening at all. If that ever comes up I would love it as a future feature request! I was able to restrict this in our old shop software. [21:18] Gabrielle: I can definitely submit a future feature for this! [21:18] Gabrielle: Anything else I can assist with? [21:20] Christina M Barton: Thank you so much! The balance sheet is just such a sensitive area and it is harder to find things out of place there.
No, that should be all for today! [21:20] Visitor ‘like’ this conversation [21:22] Gabrielle: Oh Christina, there are difference permissions to view the balance sheet since it is a report in Striven. This would be separate than permissions for your GL Accounts though. Were you referring to limiting access to GL Accounts or with the Balance Sheet Report? [21:33] Gabrielle: I think you have already left. I’ll message you through the task that gets created through this. [21:33] Gabrielle has left the conversation [21:34] Christina M Barton: Sorry…my phone rang and was helping an employee with logging into their benefits [21:34] Gabrielle has joined the conversation [21:34] Gabrielle: No worries. [21:35] Christina M Barton: I think I have already limited who can see certain reports. I want to limit them from being able to make entries into accounts I prefer they don’t have access to [21:36] Gabrielle: Just to clarify, what do you mean by entries? [21:37] Christina M Barton: POs, bills, checks, credit card charges…etc. I don’t want them to be able to choose from the entire chart of accounts. In our old system, there were settings that prevented them from even seeing Asset, Liability and Equity accounts. [21:39] Gabrielle: Just one more moment. [21:40] Gabrielle: Is this just for Purchase Orders? [21:40] Christina M Barton: no…above I listed POs,bills, checks, credit card charges, etc. [21:41] Gabrielle: Thank you [21:47] Gabrielle: This will still be a future feature but I have narrowed it down a bit more. Thank you, Christina. [21:47] Christina M Barton: Awesome - thanks! [21:48] Christina M Barton: Have a great day. [21:48] Gabrielle: You too!
