Name of Feature/Request: Ability to hide or display Items on Sales Order Format

What financial, time savings, or quality of life improvements will occur from this: Hide Commission Service Item from displaying on the Sales Order Format so the outside sales person does not see that information but can see all other items. | Frequency: Multiple times a month | We want to keep track of the Commission given to an outside sales person on the Sales Order but when we need to print a Packing List. It doesn’t make sense to have the Commission on the packing list. We currently have our Commission item stored as a Service.

Attempted Solutions So Far: Utilize Item Groups to hide or display Items and just print out the Item Group Name if needed.

[23:33] Gabrielle has joined the conversation [23:33] Gabrielle: Greetings Adam [23:33] Adam Haussecker: For example, we want to keep track of the Commission given to an outside sales person on the Sales Order [23:34] Adam Haussecker: but when we need to print a packing list, it doesn’t make sense to have the Commission on the packing list [23:35] Adam Haussecker: We currently have our Commission item stored as a Service, is there a way to ensure it doesn’t show up on the Items list when creating print formats? [23:37] Gabrielle: All Items will print out using the Sales Order Format regardless of the Item Type. Unfortunately at this time there isn’t the ability to choose which Items are visible to the customer and which Items are hidden when printing out. [23:38] Gabrielle: The only exception is if you are using an Item Group. There is an option to expand or hide the Items located within the Item Group on the printed Sales Order so you can only print out the Item Group Name. But this would only apply to Items with the Item Group Type. [23:39] Adam Haussecker: Yes, we have been using that functionality to accomplish this with other items, so we can do the same for this item for now [23:40] Adam Haussecker: are there any planned updates to include more functionality for selecting items to print? [23:41] Gabrielle: I’ll check to see if there are any updates for this right now. [23:43] Adam Haussecker: ok thank you! [23:43] Adam Haussecker: I have another question if you can help [23:44] Gabrielle: I don’t see any at the moment but I would be happy to recreate a task and record this as an Enhancement Request and have that reviewed for you. [23:44] Adam Haussecker: I want to deactivate an item but am getting the following error: “This item cannot be deactivated. This item is set as the Shipping & Handling item.” I have some Service items I have created to keep track of Shipping and Handling [23:45] Adam Haussecker: How to deactivate the current shipping & handling item and change to the one I have made? [23:46] Gabrielle: I’ll check that for you just a moment please. [23:47] Gabrielle: That is the default Shipping & Handling Item that comes already with the Striven system. At this time that Item cannot be deactivated. [23:49] Adam Haussecker: Ok, will I have any problems if I use alternative items for Shipping and Handling? Should I be using Non-Inventory items instead of Service items, or is there no real difference? [23:51] Gabrielle: There are no concerns with using your own Shipping and Handling Item and instead of the system default one. You’re good to use either the Service or Non-Inventory Type for your Shipping and Handling Item. You won’t have any problems and this is because these two Item Types are non posting. [23:52] Adam Haussecker: ok that’s great, thank you! [23:54] Gabrielle: You’re welcome! I just wanted to quickly circle back to your initial question about using a Service Item to record your Commission. How do you feel about recording the Commission as a Custom Field instead? You can record the Commission information on the internal view of the Sales Order for you only and not print that information for the customer to see. [23:55] Adam Haussecker: but will that be captured in the relevant Expense Account? [23:56] Adam Haussecker: It is an interesting issue, as we have outside sales people that will receive a commission, but we need to print packing lists for the sales person’s customer, who will not be and should not see the commission item on the packing list [23:57] Gabrielle: No it won’t to my knowledge and neither should the Service Type Item you are using for the Commission now. [00:00] Adam Haussecker: oh really? but the Service items have an Accounting section that ties them to Income and Expense accounts, what does that section do? [00:05] Gabrielle: Thanks for waiting, Adam. I am looking at these accounts and comparing to how they are also located on the Non Inventory Item Types. [00:07] Gabrielle: At this time I don’t exactly know how these Accounts are impacted from a financial reporting stance but I can certainly find that out if you’d like. [00:09] Adam Haussecker: to be honest I do not know much about accounting, I am just concerned about messing things up for our accountant! [00:11] Gabrielle: Gotcha! I am checking one other thing here quickly if you don’t mind waiting a couple more minutes. [00:14] Gabrielle: I know the Asset Account is impacted when the Item is added onto an Invoice. I can create a Task to double check how these accounts are impacted from a financial reporting stance if you’d like. [00:16] Gabrielle: I just wanted to bring up the Custom Field as an option just in case you just needed to record a Commission % on the Sales Order. The Custom Field would not impact any accounts. If it is working now the way you have it with using the Service Type then that is fine too and I can always record that Enhancement Request so that way we can see if there could be an option in the future to either hide or display the Item on the printed version. [00:17] Adam Haussecker: Yes, ultimately that is the feature we need: the ability to hide or display Items for print-outs [00:18] Gabrielle: Gotcha!
