Name of Feature/Request: Customer PO # as an optional field on invoices or ability to add custom fields in the header area of invoices
What financial, time savings, or quality of life improvements will occur from this: Add field to Invoices for Customer Purchase Order # or add the capability to create a custom field that can be within the Invoice Header vs. line level only | Frequency: Daily | Our clients use the Client PO to tie our invoices back to their Purchase Orders when they make payment to us. It is required that we put this field on their invoices. We have always put the PO# at the top in its own field to make it easy for the client to find and reconcile our invoice to their PO.Having the Client PO# in the Invoice Memo field puts it at the bottom of our invoices and mixes the Client PO# in with other less Importsant but still necessary information that we include on many invoice. This makes it much harder for our clients to find their PO#. Having the Client PO# in its own field would allow us to move it to the top of the page where our client can easily find it.Using the Invoice Memo field also causes the Client PO# to be duplicated on our Invoices when there is a Sales Order attached. Because there is no place to enter the Client PO# on the Invoice screen we’ve been putting it in the Invoice Memo field even when there is a Sales order attached so we can easily find the Client PO# number from the invoice screen when a client calls. This is causing the Client PO# to appear in both the Client PO# field in the header, since it’s on the Sales order, and in the Invoice Memo because our processors are adding it there as well. All of the above issues would be solved if there was a way to enter the Client PO# from the Invoice screen as well as the Sales Order screen, even when no Sales Order exists.
Attempted Solutions So Far: We are currently putting the client PO in the Invoice Memo field so it is visible both on the Invoice page and on the PDF. We also have to have it in the Invoice Memo field when we create as invoice that is not tied to a Sales Order because there is nowhere else to put it.

If not is there a way to add a custom field to our Invoices at the whole invoice level and not at the line item level? [13:56] Courtney has joined the conversation [13:56] Courtney: Greetings Kelly! [13:57] Kelly House: Hi COurtney! [13:58] Courtney: When you say Client PO, I just want to make sure I understand. Are you referring to the PO number that the client assigns to the purchase from their end? [13:59] Kelly House: Yes. For some orders the client send us a PO with their company PO# for a list of items and we drop ship them to the client without creating a sales order. [13:59] Courtney: Ok I see now. Let me look into that for you [14:00] Kelly House: Thanks! [14:02] Courtney: I am not seeing a way to add custom fields on the invoice outside of the custom columns option. Custom Columns fall within the lines though. One thing you could do is add the PO number to the Memo field which is more at the header level of the invoice.

[14:07] Kelly House: That what we’ve been doing but the staff wanted a separate filed like they have on the sales order so they could have the Client PO called out at the top of the PDF and the memo at the bottom. This way the client could easily tie the invoice to their PO without searching through the other notes they may have put in the memo field. [14:09] Courtney: Ok that is understandable. The PO # can be added as a merge field to your invoice formats if there were a Sales Order that you converted to a PO, but since these do not have Sales Orders tied to them, I don’t think that will work here. I believe this would need an enhancement request to add the ability for custom fields on invoices or to add the Client PO # as a global field to invoices. [14:09] Courtney: Would you like me to submit an enhancement request for you? [14:11] Kelly House: That would be great, thanks! [14:11] Courtney: Of course! I will get that submitted and follow up with you through the task. [14:11] Courtney: Is there anything else I can assist with right now? [14:11] Kelly House: That’s it for now. Thanks for your help! [14:11] Courtney: You’re welcome! I hope you have a great day!

Inout Previous Hansa system the Client PO field was in the header of our invoices and could be filled in at the invoice level whether there was a sales order or not.
